About the role
We are seeking a detail‑oriented Administrative Assistant to provide comprehensive administrative and legal support to our attorneys. The role involves managing confidential information, coordinating schedules, and ensuring smooth office operations in a fast‑paced legal environment.
Key responsibilities
- Provide administrative and legal support while maintaining strict confidentiality of firm and client information.
- Manage calendars, Outlook contacts, and Microsoft Teams scheduling for internal and external meetings.
- Handle telephone support, correspondence, and proactive monitoring of attorney mail (electronic and physical).
- Perform attorney time entry, client billing, new matter intake, and engagement documentation using 3E and InTapp.
- Process expense reports and invoices through Chrome River.
- Coordinate domestic and international travel arrangements.
- Prepare, edit, and format legal documents, presentations, and reports, including PDF/Word conversions, redlines, and PowerPoint materials.
- Maintain electronic records and document management in iManage, ensuring accuracy and organization.
Required profile
- Strong organizational and electronic record‑keeping skills.
- Excellent proofreading abilities with high attention to detail.
- Effective written and verbal communication.
- Ability to work under pressure, meet deadlines, and adapt to changing priorities.
- Strong problem‑solving skills and a high level of professionalism.
- Positive attitude and collaborative, team‑oriented approach.
