About the role

We are seeking a detail‑oriented Administrative Assistant to provide comprehensive administrative and legal support to our attorneys. The role involves managing confidential information, coordinating schedules, and ensuring smooth office operations in a fast‑paced legal environment.

Key responsibilities

  • Provide administrative and legal support while maintaining strict confidentiality of firm and client information.
  • Manage calendars, Outlook contacts, and Microsoft Teams scheduling for internal and external meetings.
  • Handle telephone support, correspondence, and proactive monitoring of attorney mail (electronic and physical).
  • Perform attorney time entry, client billing, new matter intake, and engagement documentation using 3E and InTapp.
  • Process expense reports and invoices through Chrome River.
  • Coordinate domestic and international travel arrangements.
  • Prepare, edit, and format legal documents, presentations, and reports, including PDF/Word conversions, redlines, and PowerPoint materials.
  • Maintain electronic records and document management in iManage, ensuring accuracy and organization.

Required profile

  • Strong organizational and electronic record‑keeping skills.
  • Excellent proofreading abilities with high attention to detail.
  • Effective written and verbal communication.
  • Ability to work under pressure, meet deadlines, and adapt to changing priorities.
  • Strong problem‑solving skills and a high level of professionalism.
  • Positive attitude and collaborative, team‑oriented approach.
