About the role
The High School Registrar is responsible for maintaining accurate student academic records and providing information as required. Working under the direction of a Coordinator of Guidance or an Assistant Principal III, the registrar ensures that all student data is current, reliable, and compliant with district and state regulations.
Key responsibilities
- Maintain permanent records of students' coursework, grades, test scores, deficiencies, and other academic achievements.
- Process registration forms, verify accuracy, request prior records, and post transcript information into the district system.
- Handle student withdrawals, update the master student file, and maintain related transmittal records.
- Calculate overall GPA, prepare class rankings, and process transcript requests for schools, colleges, and scholarship sponsors.
- Verify student information for insurance, employment, scholarships, and athletic eligibility.
- Order and manage office supplies related to student records.
- Provide record information to students, staff, parents, and the public in accordance with California Education Code and district policies.
- Maintain records for special programs such as Independent Study and Teen Parent programs.
- Train and supervise clerical and student assistants assigned to the records office.
Required profile
- Knowledge of modern office practices, procedures, and equipment, including computer use.
- Familiarity with record‑keeping techniques and applicable sections of State Education codes.
- Understanding of school district organization, graduation requirements, and related policies.
- Ability to compose letters independently and supervise assistants.
- Strong arithmetic skills for GPA calculations and ability to interpret transcripts from various jurisdictions.
- Effective teamwork and communication skills; typing speed of at least 40 wpm.
