About the role
The Service Administrator provides essential administrative support to the Service Department, ensuring smooth operations through accurate data entry, customer communication, and paperwork management. This full‑time, onsite position is based in Mansfield, Ohio, and plays a key role in maintaining service schedules and warranty processes.
Key responsibilities
- Maintain the Service Planner with preventive maintenance campaigns, repairs, and lease information.
- Start repair orders, schedule pick‑ups, and coordinate vendor work.
- Respond to customer inquiries regarding billing, scheduling, and service status via phone and email.
- Assist with parts inventory, cycle counts, procurement, storage, and billing.
- Prepare and issue receipts, invoices, warranties, and other service documents.
- Process warranty claims, ensuring compliance with manufacturer guidelines.
- Run scheduled reports and handle routine office tasks such as mail routing and supply ordering.
Required profile
- High school diploma or equivalent; vocational or technical certification preferred.
- Two or more years of experience in a parts or service technician role.
- Strong attention to detail and ability to prioritize tasks independently.
- Excellent written and verbal communication skills for internal and external customers.
Required skills
- Proficiency in Microsoft Office Suite.
