Program Administrator - PMO

About the role

Trace Systems is recruiting a Program Administrator to support the EAGLE-I contract onsite as part of its Trace Program Management Office in Tampa, Florida. The role ensures timely, quality and compliant delivery of contract deliverables and supports the PMO's coordination with the Government.

Key responsibilities

• Track and optimize contract performance compliance, scorecards and PMO processes.
• Maintain risk, issue and action registers, prepare read-aheads and run governance meetings (TEMs, ERB/CCB/TRR), including agenda planning and decision capture.
• Own intake, validation, routing and tracking of Travel Authorization Requests (TARs) and Request to Initiate Purchase / Consent to Purchase (RIP/CTP).
• Consolidate inputs from all sections into PM/DPM briefings, variance narratives and KPI rollups.
• Coordinate delivery schedules and acceptance packages and track closure of PMO tasks.
• Build and maintain the IMS at the direction of the PM/DPM, and assist the travel coordinator if needed.
• Work with other PMO staff to ensure on-time, correct and compliant submissions to the Government.

Required profile

• Active, in-scope US Government Secret clearance.
• 5+ years of senior administrative support on DoD programs, including task order oversight, subcontractor management, personnel actions, deliverable tracking, timecard approvals and program reviews.
• Excellent written communication and professionalism with Government counterparts such as CORs, KOs, GTLs and senior officials.
• High school diploma.
• Desired: proven experience supporting FEDSIM programs and task orders, and strong working knowledge of federal contracting processes, especially GSA schedules and FEDSIM procedures.

• Advanced use of MS Office (Excel, PowerPoint) and SharePoint.
• Burn rate tracking, spend plans, KPI rollups, executive briefings and program presentations.
• Action tracking, minutes and decision logs, and executive brief preparation.
