Onboarding Specialist

About the role

Allied Universal, a security and facility services company, is hiring a full-time Onboarding Specialist in Reno, Nevada. The specialist is the main proctor of the New Employee Orientation (NEO), the first introduction to a new hire and the first phase of the Security Professional Onboarding and Development program. The position is in-office.

Key responsibilities

• Prepare for the New Employee Orientation each day, ensuring the classroom has welcome packets, drug test kits, Chromebooks, headphones, pay cards and other required tools.
• Proctor the NEO: review the welcome kit, verify Form I-9 documents and administer drug tests.
• Initiate onboarding documents through the Applicant Tracking System (e.g. iCIMS) and complete the employer section of Form I-9.
• Update iCIMS so all required iForms are complete, advance new hires in WinTeam, enter compliance codes and direct deposit, and enter rehires with updated employee information.
• Make sure the new hire completes the three orientation lessons and the final exam.

Required profile

• High school diploma or equivalent.
• Prior work experience in a professional administrative environment.
• Able to focus and multi-task in a busy environment and handle stressful situations calmly and professionally.
• Effective management skills, able to coordinate with several employees of different personalities.
• Initiative, ability to prioritize competing assignments and meet deadlines.
• Preferred: college degree in business, human resources or a related field, and HR or recruiting experience.

Required skills

• Proficiency in all Microsoft Office applications.
• Preferred: experience with iCIMS or another ATS, WinTeam or another HRIS, and DOMO or another business intelligence tool.
