Office Manager (OluKai, Melin, Roark & TWS)
archipelagocos · Irvine
Job description
About the role
Archipelago Companies, a portfolio of consumer lifestyle brands including OluKai, Melin, Roark and Tradewind Services, is hiring an Office Manager for its new corporate headquarters at 4001 MacArthur in Newport Beach. The building houses Archipelago leadership and TWS, which makes up most of the staff. The role is full-time, in-office five days a week, and is not an entry-level front-desk position: it calls for judgment, discretion and the ability to represent a premium, multi-brand portfolio.
Key responsibilities
- Guest experience and front of house: reception, guest check-in, meeting and conference room readiness across three floors, and building access and security (badge/key provisioning, visitor logs)
- Move-in management for the first six months, setting up systems, vendors and day-to-day operations
- Vendor management: cleaning, maintenance, security, plants, catering and building systems, plus scheduling and overseeing service and repair work
- Internal events, offsites and cross-brand gatherings, and daily walkthroughs of common areas, kitchens and conference rooms
- Inventory and budget management for furniture, equipment and office supplies
- Safety and emergency preparedness: AED maintenance and inspection, evacuation plans, emergency protocols, and acting as point person during drills and emergencies
- Administrative support to leadership (scheduling, meetings, catering, travel) and coordination of mail, shipping and receiving
- Maintaining a consistent, premium environment across all three floors
Required profile
- Bachelor's degree preferred or equivalent experience
- Minimum of 5 years of office management, facilities management or hospitality experience, ideally in a premium or multi-tenant environment
- Experience managing vendor relationships and service contracts directly
- Project management experience and strong organizational skills
- Ability to handle confidential information with discretion and adapt to shifting priorities
- Reliable, punctual, available in-office, and comfortable moving between executive support and hands-on office duties
Required skills
- Elevated proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat
- Expert written and verbal communication and attention to detail
- Active use of AI-enabled tools and emerging technologies
What we offer
- Salary of $85,000 to $120,000 plus an opportunity for an annual bonus
- Complimentary chef-prepared breakfast and lunch Monday to Thursday
- Product gift program, brand discounts, milestone anniversary travel gifts and a company bonus program
- Medical, dental, vision and life insurance, and a 401k with employer match
- 15 days of PTO plus one extra day on your anniversary and 3 floating holidays
- Paid beach and giveback days and bi-annual team-building events
