Recruiting Coordinator

About the role

As a Recruiting Coordinator on Rillet’s Talent team, you will own the operational engine behind hiring, keeping interviews moving, candidates informed, and recruiting systems running smoothly in a fast‑paced, high‑ambiguity environment.

Key responsibilities

• Own end‑to‑end interview scheduling across functions, time zones, and complex loops, handling reschedules and last‑minute changes.
• Manage the candidate experience from scheduling through final decision, ensuring timely and thoughtful communication.
• Maintain accurate recruiting system data, pipelines, interview materials, candidate communications, and offer logistics.
• Partner with recruiters and hiring managers to anticipate bottlenecks, solve problems quickly, and keep hiring processes moving.
• Identify recurring issues, build better workflows, and create structure to improve scaling operations.

Required profile

• 1–3 years of recruiting coordination or high‑volume operations experience, preferably in a fast‑moving startup.
• Highly organized, responsive, and detail‑oriented with strong ownership and judgment.
• Comfortable making decisions and moving forward without perfect direction.
• Adaptable, proactive, and calm under pressure, especially when priorities shift.

Required skills

• Experience with modern Applicant Tracking Systems; Ashby experience is a strong plus.
