Transaction Coordinator - Short-Term Rentals

About the role

A fast-growing short-term rental (STR) real estate business is looking for a proactive, detail-oriented Transaction Coordinator. The role manages end-to-end real estate transactions sourced mainly through Zillow and other online lead channels, supporting deal flow, coordinating between stakeholders and ensuring smooth execution from contract to closing. The position is full-time, with US time zones preferred.

Key responsibilities

• Coordinate real estate transactions for STR properties from lead to closing.
• Assist in drafting, reviewing and managing purchase agreements and related contracts.
• Manage and track Zillow-generated leads, ensuring timely follow-ups and conversion support.
• Act as the central point of contact between co-broking agents, buyers/sellers and third-party vendors such as lenders, title companies and inspectors.
• Schedule and follow up on home inspections, appraisals and other due diligence.
• Ensure documentation is complete, accurate and submitted on time.
• Maintain organized transaction records and update CRM systems regularly.
• Monitor deadlines, contingencies and closing timelines.

Required profile

• Proven experience in real estate transaction coordination; STR experience preferred.
• Strong understanding of contracts, real estate documentation and closing processes.
• Excellent communication skills and ability to manage multiple stakeholders.
• High attention to detail, strong organization and ability to work in a fast-paced, deadline-driven environment.

Required skills

• Experience with Zillow or similar online lead generation platforms.
• Preferred: familiarity with CRM tools and transaction management platforms.
• Preferred: knowledge of US real estate processes and terminology.
