About the role
This hybrid Executive Assistant position supports the Vice Chairman of a family‑office and real‑estate firm. Working four days on‑site near Grand Central Station and one day remotely, you will partner closely with the Chief of Staff to manage a blend of professional and personal commitments.
Key responsibilities
- Coordinate day‑to‑day logistics for the Principal’s business, board, philanthropic, and personal activities.
- Manage the Principal’s inbox, draft responses, and flag items requiring approval or signature.
- Maintain and update the Principal’s calendar, aligning it with family calendars and adjusting for shifting priorities.
- Arrange high‑end travel, including private aviation, hotels, ground transport, and on‑the‑fly adjustments.
- Oversee meeting logistics: rooms, catering, AV, dial‑in, and IT requirements.
- Liaise with internal teams (legal, accounting, investment, HR) to execute business and personal matters.
- Support board‑related activities and non‑profit engagements, preparing materials and scheduling.
- Schedule medical appointments, manage prescriptions, and coordinate with healthcare providers.
- Assist with technology management, troubleshooting, and record‑keeping of devices.
Required profile
- Minimum 7 years of experience in an executive support role.
- Bachelor’s degree (BA/BS) from a college or university.
- Experience handling private‑aviation travel arrangements.
Required skills
- Advanced Microsoft Office proficiency (Word, Excel, PowerPoint, Outlook).
- Strong command of Google Workspace (Docs, Sheets, Slides, Gmail).
