Event Coordinator

About the role

The Greenbrier Hotel in White Sulphur Springs is hiring an Event Coordinator within its Event Services department. The role manages all aspects of daily events, including coordination of production and exhibitor setup, tear down and departure for in-house group business, and acts as the meeting planner's advocate and liaison to the hotel's operational departments.

Key responsibilities

• Serve as a positive voice of the brand, build strong team relationships and liaise between clients, the Event Services Manager and other departments.
• Maintain confidentiality of event, guest and conference details.
• Use Opera software to generate Banquet Event Orders, change logs and daily event lists.
• Review group resumes, diagrams and banquet event orders before group arrival, identify issues and work with the Event Services Manager on an action plan.
• Coordinate on-site programs, including directing set-up, welcoming guests, assisting vendors and overseeing teardown.
• Survey meeting and banquet spaces against the BEO and diagrams, and proactively resolve room set issues such as lighting, temperature and A/V equipment.
• Advise clients on event status and coordinate changes, and communicate changes during group stays to the team and manager.
• Plan and run golf groups depending on experience, attend staff meetings and suggest improvements to venue offerings.

Required profile

• High school diploma or GED.
• Some college or hospitality experience preferred.
• Excellent written and oral communication skills.
• Extremely organized, able to manage multiple events at once with tact and professionalism.
• Intermediate-level computer skills.

Required skills

• Ability to adapt to use Opera, Knowcross, Concepts, Outlook, Social Tables, Safe Locks and Open Tables.
• Work hours vary with business demand and include weekends and holidays; shifts can last up to 9 hours.
