Billing Specialist – NetSuite

About the role

Vastian, a fast‑growing SaaS provider of healthcare and laboratory quality solutions, is looking for a Billing Specialist to own the accuracy of subscription billing in NetSuite. This detail‑oriented position works closely with Finance leadership and directly impacts revenue recognition and the monthly close.

Key responsibilities

• Run the monthly billing cycle in NetSuite – generate, review and resolve invoice exceptions.
• Verify that orders from Salesforce land correctly in NetSuite (terms, dates, pricing, billing frequency, renewal dates).
• Review subscription setup for accuracy, including start/end dates, proration, co‑terminations and billing schedules.
• Confirm revenue recognition behavior on new and amended subscriptions and flag anomalies.
• Process amendments, upgrades, downgrades and cancellations, ensuring downstream billing and revenue effects are correct.
• Reconcile billing to the subscription base each month and investigate variances.
• Own credit memos, rebills and billing disputes end‑to‑end, identifying root causes.
• Maintain clean customer billing data (contacts, addresses, split billing, PO requirements, tax exemption documentation).
• Support the monthly close with revenue analysis and respond to auditor requests.
• Partner with Account Managers on billing questions and escalate decisions promptly.

Required profile

• 2+ years in billing or billing operations at a SaaS or subscription business.
• Hands‑on NetSuite experience in billing – subscriptions, schedules, invoices, credit memos.
• Exceptional attention to detail and ability to spot errors before they affect downstream processes.
• Comfort reading subscription contracts and ensuring system data matches signed agreements.
• Understanding of how billing feeds revenue recognition.
• Strong Excel skills for reconciling data sets.
• Clear, professional written and verbal communication.
• Ability to thrive in a small‑company environment with shifting priorities.
