About the role
Job Duck is looking for a versatile Intake and Admin Assistant to serve as the first point of contact for clients and provide light administrative support. This remote, full‑time position blends client communication, legal intake, calendaring, and document handling to ensure smooth operations and high client satisfaction.
Key responsibilities
- Manage calendars, deadlines, and appointments, monitoring upcoming due dates.
- Process client payments and support invoice management through Clio.
- Schedule consultations, coordinate client appointments, and follow up on document requests.
- Run billing tasks and assist with document preparation, including pulling exhibits.
- Monitor and respond to emails promptly, ensuring timely follow‑ups.
- Conduct intake conversations with new and prospective clients.
- Organize, save, and maintain digital client files.
- Send representation agreements and intake documentation.
- Answer incoming phone calls and act as the primary receptionist.
Required profile
- At least one year of experience as a Legal Assistant with client intake exposure.
- High attention to detail in written and administrative work.
- Clear, confident, and professional verbal communication.
- Comfortable speaking with clients and internal stakeholders.
- Willingness to speak up, ask questions, and provide input.
- Intelligent, curious, and eager to learn.
- Reliable computer setup with stable internet (minimum 10 Mbps download / 5 Mbps upload).
- Quiet, distraction‑free remote work environment.
