Virtual Medical Assistant - Pulmonology (Front Desk & Medical Records)

About the role

A U.S.-based pulmonary specialty practice with three clinic locations is hiring two part-time Virtual Medical Assistants (30 hours per week, Monday to Friday, U.S. Central Time). The role combines front-desk patient communication with back-office medical records management, supporting a growing practice and working closely with an established clinical team.

Key responsibilities

• Answer high-volume inbound patient calls, handle general inquiries, confirm appointments and route requests to the right clinic personnel.
• Triage calls, emails and AthenaHealth EMR messages, document them accurately and route them promptly.
• Coordinate with a bilingual Virtual Medical Assistant to help Spanish-speaking patients via live call transfers or scheduled callbacks.
• Process medical records requests from insurers, referring providers and patients on time, working with the in-house billing team while keeping HIPAA compliance.
• Help with referrals, insurance verification and prior authorizations as workflows expand.
• Provide backup call coverage during peak hours, maintain accurate EMR documentation and help develop standard operating procedures.

Required profile

• At least 1 year of experience as a Virtual Medical Assistant for U.S.-based healthcare practices.
• Hands-on experience in patient communication, inbound calls, medical records or similar administrative workflows.
• Familiarity with U.S. healthcare workflows, medical terminology, patient confidentiality and HIPAA.
• Preferred: experience with AthenaHealth EMR, pulmonology practices or billing coordination.

Required skills

• Strong English verbal and written communication.
• Ability to multitask and work independently in a high-volume remote setting.
• Technical setup: computer or laptop with at least an Intel Core i5, reliable high-speed internet with a backup, UPS or backup power, and a quiet workspace.
