Special Events Concierge (Part‑time)

About the role

The Special Events Concierge delivers a premium hospitality experience for clients, guests, and vendors at the Oklahoma Hall of Fame. Working under the Director of Special Events, you will manage on‑site events, ensuring safety, service excellence, and smooth execution.

Key responsibilities

• Manage and execute on‑site events at the Gaylord‑Pickens Museum, including safety and security oversight.
• Greet clients, guests, and vendors with a friendly, professional demeanor.
• Coordinate with catering partners, event planners, security, and third‑party vendors.
• Enforce event policies, handle difficult conversations, and maintain a courteous environment.
• Execute banquet event orders, confirm AV equipment, and verify building readiness.
• Conduct post‑event walkthroughs and complete required paperwork.
• Participate in weekly BEO meetings and final walkthroughs as needed.

Required profile

• Minimum 2 years experience in customer service, event planning, or hospitality.
• Ability to multitask in high‑stress environments while remaining professional.
• Basic knowledge of local lodging, attractions, restaurants, and destinations.
• Clean, business‑casual appearance and flexible schedule including evenings, weekends, and holidays.

Required skills

• Knowledge of Triple Seat Event software (preferred).
• Knowledge of All Seated event software (preferred).
