Service Operations Distribution Specialist

About the role

The Service Operations Distribution Specialist delivers accurate, timely and secure distribution of payroll materials in a high-volume payroll provider environment. The role covers end-to-end printing, packaging and preparation of payrolls for the organization's entire client base, meeting quality standards, strict timelines and compliance requirements. Regular on-site attendance is required.

Key responsibilities

• Assemble and prepare payroll packages for each client, including registers, reports, worksheets, liability reports, checks, vouchers and other documents.
• Operate mailing systems, shipping PCs, printers, sealers and related production equipment.
• Inspect printed payroll checks, sort and package them for secure pickup or delivery.
• Post mail and overnight shipping labels daily and complete package confirmations, logs and checklists.
• Follow security, confidentiality and audit protocols, and escalate discrepancies or delays.
• Stage and replenish packaging supplies, load and unload paper stock, and run daily printing and computer processing jobs.
• Build and maintain relationships with team members and provide light administrative support such as filing and archiving records.

Required profile

• High school diploma preferred, or equivalent combination of experience, skills and education.
• One or more years of experience with cloud-based printing solutions preferred.
• One or more years of experience with administrative and clerical procedures.
• Experience with Microsoft Office (Outlook, Teams, Excel, PowerPoint).

Required skills

• Working knowledge of shipping and logistics vendors such as FedEx, UPS and other couriers.
• Exceptional attention to detail and strong time management in a fast-paced environment.
• Good communication, teamwork and decision-making skills.
