Scheduling Coordinator

About the role

The Scheduling Coordinator supports patient access across multiple hospitals, physician practices, and outpatient departments by coordinating appointments, procedures, and exams. The role ensures accurate scheduling, communication with staff and referral sources, and education of patients and providers on department protocols.

Key responsibilities

• Collect clinical information, obtain insurance, and verify patient demographics for appropriate scheduling of screening and diagnostic tests.
• Schedule patients for physician appointments and diagnostic test procedures using scheduling software.
• Educate patients, families, and physician offices about department protocols, insurance, referrals, and testing criteria.
• Monitor practice protocols, recommend improvements, and serve as a resource for staff, physicians, and referring offices.
• Strive to reduce errors and rework through attention to detail and accurate data entry.

Required profile

• High School Diploma/GED (or Associate's Degree) with 6 months of medical office, call center, or customer‑service experience.
• Ability to maintain strict confidentiality and handle stressful, fast‑paced environments.
• Detail‑oriented with accurate electronic data entry skills.
• Physical ability to lift 25 lb and perform typical office movements.

Required skills

• Proficiency in Microsoft Office applications.
• Familiarity with EMR and scheduling systems such as EPIC or PHS.
• Bilingual English/Spanish (preferred).
