Program Scheduler – Part‑Time

About the role

Holding Hands is seeking a motivated Program Scheduler to support its growing ABA, DIR/Floortime, and mental‑health services. In this part‑time position you will join the operations team, ensuring that clients and clinical staff have accurate, up‑to‑date schedules in a fast‑paced environment.

Key responsibilities

• Create and maintain permanent schedules for clients and clinicians.
• Process day‑to‑day changes, including cancellations and new‑client onboarding.
• Develop shadowing schedules for new hires and verify scheduling expectations.
• Analyze contract fulfillment reports to maximize staff and client utilization.
• Identify and resolve scheduling conflicts proactively.
• Communicate schedule changes and requests across the clinical and operations teams.
• Handle inquiries from parents, caregivers, schools, and staff regarding scheduling needs.
• Partner with the Office Manager to assess staffing requirements.
• Maintain accurate records in the Client Relationship Management system and audit for errors and labor‑law compliance.

Required profile

• Minimum 2 + years of experience in high‑volume scheduling or administrative roles, preferably in behavioral or mental‑health services.
• Bachelor’s degree in healthcare administration or a related field is preferred.
• Strong analytical mindset with a focus on operational excellence and accuracy.
• Ability to work independently, resourcefully, and with urgency.
• Mission‑driven attitude aimed at supporting clinical quality.

Required skills

• Familiarity with electronic health record (EHR) systems.
• Experience using client relationship management (CRM) platforms.
