Orchestra Personnel Manager & Librarian

About the role

Central City Opera seeks a highly organized, collaborative, and musically knowledgeable professional to manage orchestra personnel and library functions for its seasonal summer festival. Reporting to the Head of Music, the role supports musicians, conductors and production staff across preparation and performance periods.

Key responsibilities

• Maintain accurate orchestra rosters, personnel records, and contact information.
• Coordinate musician contracting, auditions, and substitute engagements in line with the AFM collective bargaining agreement.
• Prepare and submit payroll, track service times, overtime, and related compensation details.
• Attend rehearsals and performances, serving as the administrative point of contact for musicians.
• Manage the acquisition, preparation, and distribution of scores and parts, including cuts, inserts, bowings and transpositions.
• Maintain both physical and digital orchestra library inventories and ensure timely delivery of music to musicians.

Required profile

• Strong organizational and administrative abilities.
• Solid musical knowledge and experience with orchestral operations.
• Excellent interpersonal judgment and ability to handle fast‑paced, professional opera environments.
