Operations Manager

About the role

The Operations Manager will serve as the internal steward of governance processes, stakeholder coordination, and operational clarity across the Herbert Simon Family Foundation. This behind‑the‑scenes position designs systems, organizes complex information, and creates calm among multiple stakeholders.

Key responsibilities

• Manage grantmaking processes, including inbox handling, inquiry lists, grant summaries, and payment processing.
• Design and maintain Board meeting cadence, agendas, materials, and decision flow.
• Coordinate staff scheduling, logistics for organization‑wide meetings and events.
• Identify workflow friction, recommend improvements, and maintain clear documentation across operations.

Required profile

• Bachelor’s degree or equivalent experience with at least 5 years in foundation, nonprofit, family‑office, or complex project management.
• Demonstrated ability to work independently, exercise discretion with confidential information, and solve problems without constant direction.

Required skills

• Proficiency with Microsoft Office/365.
• Experience using Salesforce or similar CRM.
• Familiarity with project‑management tools such as Asana.
• Ability to quickly learn new systems like SmartSimple.
