Operations Manager - Boutique Architecture Firm

About the role

A growing architecture firm based in Austin, Texas is looking for an Operations Manager to own the operational backbone of the business. This is a highly visible role covering finance operations, HR administration, office systems and day-to-day business processes, working closely with leadership to build scalable systems that support the firm's growth.

Key responsibilities

• Own day-to-day finance operations: accounts payable, accounts receivable, invoicing, collections, expense processing, payroll submissions and vendor payments.
• Manage employee onboarding and offboarding, benefits administration, HR records, compliance documentation and performance review scheduling.
• Oversee office operations, facilities, software licensing, vendor relationships, insurance renewals and business registrations.
• Create and maintain operational systems, processes, calendars and checklists so recurring obligations are completed on time.
• Act as an operational partner to leadership, proactively identifying issues, proposing solutions and driving execution.

Required profile

• 3+ years of experience in operations, office management, business administration or a related function.
• Hands-on experience with bookkeeping, invoicing, AP/AR, payroll coordination and financial administration.
• Knowledge of HR processes such as onboarding, employee records management, benefits administration and compliance.
• Experience in architecture, engineering, construction, design or other professional-services environments is highly preferred.
