Lead Patient Care Coordinator

About the role

A confidential, relationship-centered private dental practice in Burlington, Wisconsin is looking for an experienced Lead Patient Care Coordinator to guide the patient experience and support the front office team. The role goes beyond scheduling and administration: it sets the tone for the practice, welcomes patients and helps them understand their care, while keeping the team aligned and prepared.

Key responsibilities

• Welcome patients warmly and professionally, and act as the first point of contact for many of them.
• Lead and support the front office and patient care coordination team.
• Manage patient scheduling, confirmations, follow-ups and appointment flow.
• Help patients understand treatment plans, financial options, insurance details and next steps.
• Work closely with doctors, hygienists, assistants and administrative staff.
• Support daily huddles, patient handoffs and communication between clinical and front office teams.
• Maintain accurate patient records while protecting confidentiality and HIPAA standards.
• Identify ways to improve systems, communication and the patient experience.

Required profile

• Dental front office, treatment coordination, scheduling or patient care coordination experience.
• Prior lead, training or mentoring experience, or readiness to grow into a leadership role.
• Warm, clear and confident communication, with organization, dependability and a solutions mindset.
• Balances patient compassion with strong follow-through, and understands confidentiality and trust.
• Thrives in a collaborative private practice setting.
