HVAC Coordinator

About the role

The HVAC Coordinator is the primary point of contact for customers needing HVAC service and maintenance. You will manage work orders from request to completion, ensuring timely, accurate service and high customer satisfaction.

Key responsibilities

• Assess service needs and schedule qualified HVAC technicians, subcontractors, or vendors, communicating scope, site requirements, and customer expectations.
• Obtain, review, and secure approvals for quotes on repairs, maintenance, and replacements.
• Maintain proactive communication with customers and service providers regarding scheduling, status, delays, and recommendations.
• Track open work orders, address delays, and verify completed service documentation for accuracy and satisfaction.
• Document work‑order notes, quotes, approvals, and service updates in PVC Connect and the Customer Portal while handling multiple requests.

Required profile

• High school diploma or GED required.
• 1‑3 years of experience in HVAC, facilities or property management, service coordination, or a fast‑paced customer service environment.
• Previous experience coordinating HVAC service calls and knowledge of HVAC systems, terminology, and preventive maintenance is strongly preferred.

Required skills

• Understanding of HVAC systems and common service/repair needs.
• Experience with work‑order management, CRM, scheduling or dispatch software (e.g., PVC Connect).
