Facilities Business Operations Representative

About the role

The Facilities Business Operations Representative supports the smooth functioning of university facilities by managing service‑desk operations, work orders, and vendor interactions. The role also mentors junior staff and helps resolve complex operational issues.

Key responsibilities

• Enter, analyze, and report data related to facilities services and projects.
• Communicate schedule updates and project information to customers promptly.
• Manage vendor relationships, process invoices, and handle inquiries or escalations.
• Create, assign, update, and track work orders from phone calls or correspondence.
• Provide administrative support to senior facilities managers, including expense reporting and event reimbursements.
• Assist in planning, scheduling, and coordinating maintenance, repairs, and shutdowns.
• Maintain organized records, support accident‑report documentation, and ensure compliance with university policies.
• Train and mentor less‑experienced team members.

Required profile

• High school diploma or equivalent.
• Minimum three years of relevant experience in facilities or operations support.
• Strong oral and written communication skills.
• Ability to build effective interpersonal relationships.
• Capability to follow instructions and work both independently and collaboratively.
