About the role
Viant is seeking a proactive Executive Assistant and Office Manager to provide comprehensive administrative support in a fast‑moving advertising environment. You will work closely with senior leaders across multiple departments, handling confidential information and ensuring smooth day‑to‑day operations.
Key responsibilities
- Manage schedules and travel arrangements for leaders in several departments.
- Track and prepare business expense reports.
- Plan and coordinate logistics for team meetings, offsites, client events, social gatherings and volunteer activities.
- Maintain office operations, including conference rooms, workstations, supply orders, kitchen services, cleanliness, repairs and vendor relationships.
- Prepare weekly reports using Google Docs, Google Sheets and Salesforce data.
- Support company culture initiatives and team‑building activities.
Required profile
- 5+ years of administrative experience in a dynamic setting.
- Exceptional organizational, problem‑solving and time‑management abilities.
- Strong communication skills, both verbal and written.
- Ability to handle multiple priorities with extreme attention to detail.
- Comfort working under pressure and adapting to change.
Required skills
- Microsoft Office (Outlook, Excel, Word, PowerPoint)
- G‑Suite (Docs, Sheets, Slides)
- Concur expense management
- Digital cloud filing (Dropbox)
- Video‑conferencing tools (Zoom, Webex, Microsoft Teams)
- Project management tools (Asana)
- Salesforce reporting (a plus)
