Call Center Coordinator - Aesthetic Clinic

About the role

SDBotox is looking for a Call Center Coordinator to serve as the first point of contact for patients, guiding them from greeting and answering questions through scheduling and payment processing after treatment. The role is primarily based at the Mission Valley location, with occasional Patient Coordinator shift coverage across the San Diego locations as needed; weekend flexibility is desired.

Key responsibilities

• Act as the first point of contact for patients by phone and email, answer questions and concerns, schedule appointments and process deposits.
• Notify locations of service delays and escalate situations to the direct manager when appropriate.
• Make sure appointments are booked correctly with deposits and information, and confirm upcoming appointments for the next day by text, call or email.
• Inform patients of pre- and post-care requirements and follow up on them.
• Maintain patient accounts by recording and updating personal and financial information, in line with federal, state and local laws protecting patient data.
• Occasionally perform Patient Coordinator duties at SDBotox locations in the San Diego area to cover front-desk needs.
• Carry out other administrative duties and support projects as assigned.

Required profile

• High school diploma or equivalent.
• 1-2 years of experience in a professional setting.
• Reliable ability to commute between different SDBotox locations in San Diego.
• Preferred: previous experience in a medical spa or medical office.

Required skills

• Exceptional customer service, written and oral communication, and time management skills.
• Ability to triage and escalate, multitask with attention to detail, and adapt to changing company needs.
• Comfort using computers and software programs.

What we offer

• Pay of $18-$22 per hour.
• 12% commission on all skincare product sales.
