About the role
The International Rescue Committee is seeking a dedicated Administrative / Office Assistant to serve as the first point of contact for visitors and callers at its Richmond office. This full‑time, on‑site role ensures the office runs smoothly from opening to closing each day.
Key responsibilities
- Greet and direct visitors, answer basic inquiries, and manage visitor flow during peak periods.
- Answer, route, and take messages for incoming telephone calls.
- Maintain office security measures, distribute ID badges, swipe cards, and office keys.
- Order, track, and replenish office supplies while monitoring inventory and prices.
- Maintain office equipment (copier, fax, printer, scanner, projector) and arrange repairs as needed.
- Receive, sort, and distribute mail; process outgoing mail daily.
- Support intern recruitment, interview, onboarding, and training under the Operations Coordinator.
- Assist with bus passes, vouchers, and related inventory updates.
- Help resolve basic IT and telephone system issues, updating voicemail and extensions.
Required profile
- High school diploma required; some university education preferred.
- Fluent English with strong verbal and written communication skills.
- Professional, reliable, detail‑oriented, and well‑organized.
Required skills
- Proficiency with Microsoft Office applications, especially Excel, Word, and Outlook.
