Administrative Assistant

About the role

Provides comprehensive technical and secretarial support to the assigned Director and district department, maintaining records, coordinating projects, and ensuring smooth office operations.

Key responsibilities

• Establishes and maintains department records, compiles reports, and distributes program materials.
• Coordinates special projects, meetings, workshops, travel arrangements, and facility usage.
• Inputs, verifies, and generates data reports, ensuring accuracy of student, enrollment, and attendance information.
• Manages office supplies, inventory, and purchases according to established procedures.
• Oversees office work activities, provides guidance to staff, and maintains personnel attendance and timesheets.
• Performs budgetary duties, processes invoices, generates requisitions, and assists with purchase orders.

Required profile

• High school diploma or GED plus four years of increasingly responsible clerical experience with frequent public contact.
• Strong written and oral communication skills, including business letter and report writing.
• Ability to work independently with minimal direction and handle interruptions.

Required skills

• Proficiency with office equipment (copier, fax, computer) and standard office software.
• Data entry and data control procedures, including generating computerized lists and reports.
• Basic mathematical calculations and accurate record‑keeping.
