Waiver Planning Specialist (ID/A) – Priority Planning

About the role

The Waiver Planning Specialist (ID/A) works onsite at Allegheny County DHS as an employee of Community Family Advocates. The role focuses on planning and managing the Intellectual Disability/Autism waiver enrollment process, waiting‑list administration, and service authorization.

Key responsibilities

• Assist with waiting‑list management and capacity planning for the waiver program.
• Coordinate planning activities such as waiver capacity management, initiative planning, and service authorization.
• Provide resource information to Service Coordination Units, families, and Individual Support Teams.
• Identify assessed needs, potential providers, and incorporate required data into Individual Service Plans (ISP).
• Maintain electronic records in PROMISe and HCSIS, update spreadsheets/databases for tracking, and manage vacancy and utilization reports.
• Review data and reports in HCSIS/PUNS, ensure data integrity, and complete closures related to waiver capacity.
• Collaborate with Fiscal, Service Authorization, Quality Management, and Monitoring teams.
• Participate in regular Priority Planning Team meetings and system reviews of high‑priority individuals.

Required profile

• Experience in administrative planning or case management within a public‑sector or health‑service environment.
• Familiarity with waiver programs, waiting‑list processes, and service authorization procedures.
• Strong attention to detail and ability to work with multiple databases and spreadsheets.
• Effective communication skills for interacting with families, providers, and internal teams.

Required skills

• Proficiency with data entry and management in PROMISe and HCSIS systems.
• Advanced spreadsheet skills for tracking and reporting.
