About the role
Sotheby's is seeking a highly motivated Executive Assistant to provide comprehensive administrative support to senior executives. The role involves managing complex schedules, coordinating meetings, and acting as a key liaison across global teams and high‑profile clients.
Key responsibilities
- Serve as liaison with staff at all levels, senior executives, high‑profile clients, and external stakeholders.
- Coordinate meetings: plan agendas, arrange speakers, organize materials, track attendance, and follow up on actions.
- Assist with projects, initiatives, and roll‑outs, including research, data analysis, and presentation preparation.
- Handle incoming calls and enquiries, resolving issues or escalating to executives as needed.
- Prepare executives for meetings, pitches, sales, and client interactions with necessary reports and materials.
- Draft emails, type correspondence, prepare reports and presentations, and proofread documents.
- Own busy diaries, schedule meetings, events, and travel, and proactively resolve conflicts.
- Monitor industry news, art fairs, internal updates, and sales results to keep executives informed.
- Book travel, manage documentation, and coordinate with international offices.
- Process expenses, manage invoices, set up vendors, and ensure timely payments.
- Partner with other Executive Assistants to provide coverage when required.
Required profile
- Bachelor’s degree required.
- Previous experience in an Executive Assistant role or a similar position.
- Strong interest in the art and luxury market.
