Event Coordinator – New York

About the role

Brandfuel is looking for a proactive, detail‑oriented Event Coordinator to join its growing New York team. You will support the planning, design, and delivery of smaller‑scale projects while providing essential administrative and operational assistance for high‑profile events.

Key responsibilities

• Assist the event team with project administration, including meeting agendas, asset management, and vendor research.
• Create purchase orders, reconcile vendor invoices, and maintain budget documentation.
• Manage smaller‑scale projects end‑to‑end, covering event estimation, site operations, and on‑site support.
• Support the resourcing manager in sourcing and assigning freelancers.
• Utilize AI tools and project‑management software to streamline processes and improve cost‑effectiveness.

Required profile

• Minimum 2 years of coordinator‑level experience in the US events industry.
• Solid understanding of the event production lifecycle and project‑admin workflows.
• Excellent communication skills for client and vendor interactions.
• Tech‑savvy, able to thrive in a fast‑paced environment with flexible hours.
• Eligible to work in the United States and able to work from the New York office three days per week.
• Willingness to travel domestically and internationally for installations and client engagements.
