About the role
The Administrative Associate III provides essential administrative support to the Chemistry Department, maintaining official records, managing front‑desk operations, and ensuring smooth departmental workflows. This position works under deadlines and collaborates with faculty, staff, and students to facilitate daily activities.
Key responsibilities
- Greet visitors, determine their needs, and direct them to appropriate personnel.
- Answer telephone calls, provide information, and route calls as needed.
- Maintain departmental files, authorize use, and keep stakeholders informed of material availability.
- Prepare and distribute mail, compose correspondence, and produce reports using word processing and spreadsheet software.
- Schedule appointments, arrange travel, and process travel vouchers.
- Assist in budget preparation, track expenditures, and order supplies, chemicals, and equipment.
- Record minutes of staff meetings and compile operating reports such as attendance and performance data.
- Manage inventory, coordinate stockroom check‑in/check‑out, and perform basic office equipment maintenance.
Required profile
- High school diploma or equivalent; three years of related administrative experience.
- Excellent business communication, spelling, punctuation, and proof‑reading skills.
- Strong ability to multitask, handle confidential information, and prioritize tasks.
- Proficiency in computer applications, including word processing and spreadsheets.
