About the role
We are seeking a proactive Office & Operations Assistant to keep our Miami office running smoothly. You will support leadership, manage daily administrative tasks, and coordinate logistics for inventory and client orders.
Key responsibilities
- Provide administrative support to company leadership, sales team, and operations.
- Greet visitors, handle mail, answer calls and emails, and maintain filing systems.
- Coordinate calendars, schedule meetings, and arrange travel.
- Manage trade shows, exhibitions, and conference logistics.
- Process client orders in ERP, issue invoices, and oversee picking and shipping.
- Maintain office supplies, equipment, and inventory control.
- Perform basic bookkeeping, client invoicing, and merchandise stock management.
Required profile
- High school diploma or equivalent; a degree in business administration is preferred.
- Minimum 3 years of experience in administrative or related services.
- Familiarity with accounting principles and bookkeeping software.
- Strong verbal and written communication skills.
- Proactive, organized, and able to multitask in a fast‑paced environment.
