About the role

The Executive Assistant, Business Affairs provides high‑level administrative and operational support to senior members of Paramount Television Studios' Business Affairs team. This role ensures smooth coordination across a bi‑coastal team, handling schedules, communications, and legal documentation with professionalism.

Key responsibilities

  • Manage calendars, prioritize meetings, and coordinate communications with internal departments and external partners.
  • Screen calls and emails, draft and manage correspondences, memos, and meeting agendas.
  • Schedule internal and external meetings, including with agents and legal teams.
  • Support strategic priorities, monitor incoming requests, and ensure timely follow‑ups.
  • Anticipate executive needs, resolve scheduling conflicts, and remove operational bottlenecks.
  • Update internal deal trackers, manage key project documents, and prepare/review deal documents for signatures.
  • Research and prepare materials, charts, and letters for specific projects.
  • Maintain organized digital filing systems for contracts and sensitive materials.
  • Prepare and track expense reports, coordinate IT setup, and handle logistics for meetings and events.
  • Assist with department initiatives and cross‑functional projects.

Required profile

  • 3+ years of administrative experience supporting senior executives, preferably in the entertainment industry.
  • Strong organizational, time‑management, and communication skills.
  • High level of discretion, confidentiality, and ability to multitask in a fast‑paced environment.

Required skills

  • Proficiency with Microsoft Office Suite.
  • Familiarity with DocuSign and contract‑management tools.
  • Experience managing databases and electronic filing systems.
