About the role
We are seeking an Administrative Coordinator to support the SVP of License & International Strategy and the broader International team for a fashion company based in New York City. The role combines high‑touch executive assistance with coordination of international market events and travel logistics.
Key responsibilities
- Manage calendars, schedule meetings across multiple time zones, and prioritize conflicting requests for the SVP and international leadership.
- Coordinate domestic and international travel, including flights, visas, hotels, itineraries, and budget oversight.
- Reconcile and approve invoices and expense reports in a timely manner.
- Prepare presentations, decks, and confidential reports for internal and external business partners.
- Document notes and action items for weekly and monthly leadership meetings.
- Organize International Market Weeks, handling catering, fit‑model bookings, logistics, and guest access.
- Administer Zipline International user access and support building security processes.
- Provide general administrative support such as IT tickets, new‑hire setups, meeting‑room bookings, and supply ordering.
Required profile
- Associate’s or Bachelor’s degree, or equivalent experience.
- 5+ years of experience supporting executive leadership in a high‑touch environment.
- Proven experience managing extensive international travel schedules and visa applications.
- Familiarity with expense management systems such as Concur or Ariba.
- Strong analytical, organizational, prioritization, and problem‑solving abilities.
