About the role
This position provides administrative and secretarial support to patent and trademark attorneys in either Washington, DC or Los Angeles. The IP Secretary ensures smooth office operations, high‑quality client interactions, and accurate handling of legal documents throughout the patent prosecution process.
Key responsibilities
- Prepare and file legal documents, docket items, and patent prosecution paperwork.
- Manage billing, expense reports, and invoice processing.
- Coordinate calendars, schedule meetings, and arrange travel for attorneys.
- Maintain document management systems and ensure timely filing of client and case files.
- Facilitate communication between clients, attorneys, and external parties.
- Support multiple deadlines in a fast‑paced environment.
Required profile
- Minimum 5 years of administrative experience, including at least 3 years supporting patent prosecution.
- Strong attention to detail and ability to handle multiple concurrent tasks.
- Excellent written and verbal communication skills.
- High school diploma or equivalent; a college degree is a plus.
