About the role
The Department Coordinator IV provides high‑level administrative support to Campus Dining & Auxiliary Operations at the University of Rochester. Acting as the principal assistant to senior leadership, this role ensures smooth office operations, manages confidential information, and contributes to the efficiency of departmental projects.
Key responsibilities
- Prepare and review reports, documents, and statistical presentations for Campus Dining.
- Attend meetings, take minutes, and disseminate information to relevant stakeholders.
- Manage senior leaders' calendars, travel arrangements, and project timelines.
- Serve as the Campus Dining office receptionist and primary point of contact for visitors.
- Develop and maintain office management systems, master spreadsheets, phone trees, and training grids.
- Monitor office expenditures, maintain equipment inventory, and coordinate technology needs.
- Liaise between Campus Dining leadership, staff, other university departments, and external partners.
- Support departmental projects by collecting information and tracking progress.
Required profile
- Experience providing administrative support in a large or higher‑education environment.
- Ability to handle highly confidential information with discretion.
- Strong organizational, time‑management, and communication skills.
- Proven ability to manage multiple priorities and competing demands.
- Detail‑oriented approach to record‑keeping and reporting.
