About the role

We are seeking a proactive, detail‑oriented Bilingual Personal Injury Intake Specialist to join a busy California‑based personal injury law firm. The role is fully remote and focuses on swift client intake, case sign‑ups, medical records retrieval, and claim management to keep new cases moving efficiently.

Key responsibilities

• Conduct empathetic client intake interviews in English and Spanish, evaluate case viability, and execute new case sign‑ups.
• Open and set up new legal and insurance claims, ensuring all initial notices and documentation are filed accurately.
• Request, track, and follow up on medical records, bills, and treatment records from healthcare providers.
• Serve as primary point of contact for clients, providing updates, answering inquiries, and maintaining strong relationships.
• Manage daily administrative workflows, update client files, track deadlines, and maintain organized digital records.
• Accurately log all client interactions, notes, and records within Filevine and other non‑EMR tools.

Required profile

• Minimum 2 years experience supporting a US‑based personal injury law firm in intake or case management.
• Bilingual fluency in English and Spanish with a compassionate phone manner.
• Availability full‑time, Monday‑Friday, 8:00 AM‑5:00 PM PST.
• High attention to detail, strong organizational and multitasking abilities, and strict confidentiality/HIPAA compliance.
• Reliable internet connection, backup solutions, and a quiet professional home workspace.
