Sourcing Manager - FF&E

About the role

The Sourcing Manager - FF&E works closely with the Vice President of Design & Construction and Project Managers to support the daily contract commitment functions of the Design & Construction team and the Finance Department. The role complies with Finance controls and reporting for capital project furniture, fixtures and equipment (FF&E) purchase orders, consultant contracts and invoice processing, and supports the D&C team in preparing contract backup material for pay application review and approval.

Key responsibilities

• Manage contract commitments, process them, track change orders and process invoices, including architectural, interior, engineering, consulting, purchase orders and Loews capital expenditure commitments.
• Process approved contracts in Oracle, handle change orders and budget increases, and review and verify vendor invoice compliance before the Project Manager's approval.
• Liaise with third-party purchasing agents and design teams on commitments, deposits, shop drawing submissions and review, and on the production and delivery of FF&E products to the assigned warehouse or site.
• Track monthly billings, prepare regular update reports for the Project Manager, and provide timely deposit and payment information while ensuring compliance with Finance policies such as banking information, wiring instructions, W9s and certificates of insurance.
• When a third-party purchasing agent is not assigned to a capital project, bid and prepare FF&E purchase orders from the design team's specifications, obtain vendor information and process deposit requirements.
• Assist the Project Manager in tracking FF&E specifications and drawings, including flame certificates, maintenance and cleaning instructions.
• Build and maintain a Loews preferred vendor contact list and a digital library of approved FF&E and OS&E products, including specifications sheets, images and negotiated unit costs, and create a typical project cost summary for the Design & Construction department.

Required profile

• At least three years of project accountant experience.
• Previous experience in purchasing and/or construction fields.
• BS/BA degree preferred in finance, accounting or a similar discipline, but not required.
• Knowledge of basic accounting principles, strong interpersonal and time management skills, and the ability to manage large volumes of data.
• Regular attendance in line with standards; varying schedules and mandatory training sessions may be required.

Required skills

• Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint).
• Experience with databases and Oracle.
• Travel of less than 5%.
