Senior Clinic Assistant – Patient Records & Care

About the role

The University of Miami/UHealth Department of Physical Therapy is seeking a full‑time Senior Clinic Assistant to support patient intake and clinical documentation in Miami, FL. The role bridges patients, healthcare facilities, and the clinic by gathering and preparing medical records for first visits.

Key responsibilities

• Explain HIPAA policies to patients and obtain signed consents.
• Submit consents to retrieve medical records, x‑rays, and reports.
• Track pending records and ensure delivery before appointments.
• Communicate with nurse coordinators when records are difficult to obtain.
• Travel within the campus to collect records, films, or CDs.
• Collect and prepare laboratory specimens as needed.
• Maintain accurate, confidential clinical records per hospital policy.
• Assemble, complete, and process patient charts.
• Assist with ordering, receiving, distributing, sorting, and storing supplies.
• Report suspicious incidents to supervisory personnel.
• Perform clerical duties such as answering phones, sending faxes/emails, and scanning documents.

Required profile

• High school diploma or equivalent; some college in a related field preferred.
• Minimum 3 years of relevant experience in a clinical or medical‑records environment.
• Strong attention to detail and ability to work under pressure.
• Capability to handle confidential information with discretion.
• Willingness to work evenings, nights, and weekends as needed.
