About the role

The Patient Care Coordinator ensures a smooth, welcoming, and efficient experience for patients by managing front‑desk operations, appointment scheduling, and coordination across clinical and optical teams. This fully remote position supports the entire patient journey from check‑in to follow‑up.

Key responsibilities

• Welcome and assist patients, customers, and vendors with a friendly, professional approach.
• Serve as the primary point of contact for patient questions, requests, and general inquiries.
• Manage incoming calls, emails, and digital communications promptly.
• Schedule, confirm, and reschedule appointments while optimizing provider calendars and filling same‑day openings.
• Support reminder and confirmation processes to reduce no‑shows.
• Verify patient demographics and insurance eligibility, maintaining accurate EMR records.
• Assist patients with insurance coverage, benefits, and financial responsibilities.
• Prepare patient charts and required documentation for efficient visits.
• Process co‑pays, payments, and account information accurately in the EMR.
• Monitor patient flow and provider schedules, proactively addressing delays or conflicts.
• Coordinate with clinical and optical teams to ensure smooth patient transitions.
• Support patient retention through follow‑up, recall, and reactivation outreach.
