About the role
We are seeking an Operations Manager to lead and streamline our agency’s day‑to‑day processes. You will be the central point for ensuring projects stay on schedule, resources are allocated efficiently, and operational standards are consistently applied.
Key responsibilities
- Oversee payroll, recruitment, and benefits administration.
- Draft, maintain, and enforce agency SOPs and the employee handbook.
- Manage onboarding of employees and contractors, including compliance with third‑party platforms and IT communications.
- Maintain subscriptions and licenses for third‑party applications.
- Collaborate with account and production teams on job tickets, project estimates, and approvals.
- Track time, manage FTE platforms, and monitor project scopes.
- Generate post‑project financial reports and analyze resource utilization.
- Allocate resources for employees and contractors.
- Coordinate with external vendors for bookkeeping, accounting, and legal tasks.
- Handle client invoicing, collections, bill payments, and vendor invoice tracking.
- Administer insurance, SOW/contracts archive, and maintain financial records in QuickBooks.
- Oversee quarterly closes and ensure financial compliance with external accountants.
Required profile
- Efficient organizer capable of managing multiple projects and resources simultaneously.
- Analytical thinker with strong data interpretation and process‑optimization skills.
- Proactive leader who anticipates issues and acts swiftly to prevent disruptions.
- Excellent communicator with stakeholders, clients, vendors, and team members.
- Adaptable to shifting strategies and changing conditions.
