About the role
The Finance and Budget Assistant supports the Payroll and Accounts Payable Section of the Department of Operational Support in New York. Reporting to the Chief of the section, the role handles travel claims, financial processing, and budget monitoring for a global organization.
Key responsibilities
- Review, analyse and process staff travel expense reports and training‑related expenses.
- Clear old and recent travel‑related open items and manage CPM advances and related transactions.
- Scrutinise source documents for completeness, accuracy and validity of charges.
- Investigate erroneous charges, correct accounting entries and reconcile suspense accounts.
- Extract income, expenditure, assets and liability data from the accounting system for verification.
- Assist in monitoring open items in travel payroll GL accounts and prepare journal vouchers.
- Prepare worksheets and support the preparation of financial statements.
- Audit payroll, vendor payments, final payments, income tax returns and travel claims for compliance.
- Serve as Approving Officer for disbursements within authorized limits.
- Support the review, analysis and preparation of the medium‑term budget plan, monitor expenditures and prepare adjustments.
Required profile
- Ability to review and analyse travel expense reports and related financial documents.
- Strong attention to detail for validating source documents and investigating discrepancies.
- Experience with reconciling accounts and preparing journal vouchers.
- Capability to extract and verify financial data from accounting systems.
- Knowledge of budgeting processes and monitoring expenditures against approved budgets.
- Capacity to audit various accounting transactions and ensure compliance with staff rules and financial regulations.
