Facilities Operations Control Representative

About the role

The University of Miami Facilities department seeks a full‑time Facilities Operations Control Representative to serve as a liaison among faculty, staff, and facility managers, ensuring safety and smooth operation of all facility functions.

Key responsibilities

• Answer phone calls with a professional greeting, resolve or transfer issues, and manage email inquiries through the customer service mailbox.
• Monitor alarm systems (energy, fire, security, lift stations), report notifications accurately, and coordinate emergency responses with managers, mechanics, and contractors.
• Generate, dispatch, and close work orders from multiple channels (online requests, phone, fax, walk‑ins) and track work‑in‑progress status.
• Distribute office supplies, maintain inventory, and assist with vendor coordination for environmental services and elevator maintenance.

Required profile

• High school diploma or equivalent with at least one year of relevant experience.
• Strong learning agility, teamwork ability, and clear written and verbal communication skills.
• Ability to prioritize multiple tasks, resolve conflicts, and work independently or as part of a team.

Required skills

• Proficiency with office software and general computer applications.
• Experience using email systems and phone communication tools.
• Familiarity with alarm monitoring and work‑order management systems.
