Project Coordinator – Facilities Operations & Planning

About the role

The University of Miami/UHealth Facilities department seeks a full‑time Project Coordinator to support capital, renewal, renovation and maintenance projects. The role involves coordinating project logistics, vendor interactions and administrative support to ensure projects stay on schedule and within budget.

Key responsibilities

• Assist Project Managers with scopes, budgets, timelines and review of plans and specifications.
• Facilitate project logistics such as scheduling meetings, conference rooms, calls and equipment.
• Coordinate RFP/RFQ processes, bid submittals and award communications with vendors.
• Track project budgets, permits, purchase orders and expenditures.
• Prepare and distribute project reports, slide decks and documentation using DocuSign.
• Support risk management, issue resolution and project close‑out activities.

Required profile

• Bachelor’s degree in a relevant field.
• Minimum 2 years of relevant experience.
• Learning agility to adapt to new procedures and technologies.
• Strong written and verbal communication skills.

Required skills

• Proficiency with standard office software (e.g., Microsoft Office).
• Experience using DocuSign for document approvals.
• Familiarity with Projecto or similar project management tools.
