Events Production Assistant

About the role

The Events Production Assistant supports the Events and Talent Relations team with operational logistics, planning, and execution of meetings and events across the Academy Museum campuses. This part‑time role involves on‑site setup, strike, and coordination with internal teams, vendors, and clients to ensure smooth event delivery.

Key responsibilities

• Provide on‑site support for production needs before, during, and after events, including early‑morning and late‑night shifts.
• Act as the event team representative during installation and strike, communicating with facilities, security, theater operations, and visitor experience teams.
• Handle private event inquiries, schedule and lead walkthroughs with vendors and clients.
• Support film programs, screenings, and panels, managing RSVP tracking and guest‑list updates.
• Assist with event check‑in, parking, and valet coordination.
• Complete special projects as assigned.

Required profile

• High school diploma or equivalent.
• At least 1 year of experience in special events, production, catering, or hospitality.
• Valid driver’s license and reliable transportation.
• Availability for early mornings, evenings, weekends, and occasional overnight shifts.

Required skills

• Proficiency with Microsoft Office Suite.
• Proficiency with Google Workspace (Calendars, Sheets, etc.).
• Familiarity with Airtable for tracking timelines and work orders.
