Client Services Representative – Veterinary Hospital

About the role

The Client Services Representative (CSR) acts as the primary point of contact between clients and the veterinary care team in a busy teaching hospital. This position supports both clinical and educational missions by delivering compassionate, efficient, and professional service at the front desk.

Key responsibilities

• Greet clients, students, and visitors with professionalism and empathy, explain procedures, wait times, and provide emotional support.
• Schedule appointments across general practice and specialty services, confirm upcoming visits, and manage cancellations or rescheduling.
• Handle client communications via phone, email, and in‑person, relaying messages to clinicians and updating families during hospitalizations.
• Enter client information accurately into medical‑records software, obtain signatures, and maintain confidentiality of all records.
• Process financial transactions, including deposits, payments, refunds, and daily cash handling, ensuring accurate billing at discharge.
• Maintain a clean, welcoming front‑desk and waiting area environment.
