Associate Asset Management Specialist

About the role

Shield AI, a defense-tech company, is hiring an Associate Asset Management Specialist for its Dallas, Texas office. The role supports the day-to-day execution of enterprise IT asset management and procurement across hardware and software, keeping asset records accurate and coordinating equipment logistics. It sits within the Service Delivery team under Enterprise Operations and works with Cloud & Infrastructure, Cybersecurity, Finance and business stakeholders.

Key responsibilities

• Support daily hardware and software asset management, including intake, receiving, tagging, assignment, deployment, transfer, recovery, reclamation and retirement.
• Maintain accurate asset and inventory records in IT asset management, CMDB, procurement and service management systems.
• Coordinate device shipments, returns, warranties, repairs, replacements and transfers.
• Assist with procurement: purchase requests, quotes, order tracking, receiving, invoice reconciliation and renewals.
• Track software licenses and maintain entitlement, assignment, usage, renewal and reclamation records.
• Follow controls for asset handling, chain of custody, secure storage, data-bearing device disposition and audit readiness.
• Run inventory reviews, reconcile discrepancies and prepare reports on inventory status, aging assets, open requests and renewals.
• Document procedures and work instructions, and help with onboarding, offboarding, refreshes and equipment recovery.
• Support internal and external audits and suggest process improvements.

Required profile

• 1-3 years of experience in IT asset management, IT operations, service delivery, procurement support, inventory control or a related field.
• Experience with hardware assets such as laptops, desktops, mobile devices, peripherals or infrastructure equipment.
• Strong attention to detail, clear written and verbal communication, and ability to work with cross-functional teams in a fast-paced environment.

Required skills

• Maintaining records in an ITSM, CMDB, ITAM, ERP, procurement or inventory management system.
• Basic familiarity with software licensing, purchasing, inventory or asset lifecycle concepts.
• Preferred: exposure to procurement, vendor coordination, software renewals, asset audits, SOC/NIST/ITAR/DoD controls and relevant certifications.
