Administrative Assistant – Pilot Support

About the role
The Administrative Assistant provides essential office support to JetBlue pilots, handling both face‑to‑face and electronic communications. The role ensures smooth daily operations by managing documentation, coordinating schedules, and delivering timely information to the pilot community.
Key responsibilities
- Coordinate pilot leave of absence and On‑the‑Job Injury (OJI) processes.
- Maintain pilot dependability, performance records, and electronic crew files.
- Assist with schedule, qualification, pay, and dependability changes.
- Process pilot expense reports and administer the parking program.
- Distribute mail and email notifications to pilots.
- Create newsletters, updates, and informational emails.
- Interface with multiple JetBlue departments to fulfill pilot requirements.
- Prioritize, assign, and track work requests across departments.
- Plan and set up meetings, events, and functions for pilots and supervisory crew.
- Order office supplies and pilot equipment.
- Perform other duties as assigned.
Required profile
- High School diploma or GED.
- At least one year of administrative support experience.
- Strong knowledge of Microsoft Excel, PowerPoint, Word, and Outlook.
- Excellent time‑management and organizational skills.
- Ability to handle sensitive and confidential information professionally.
- Willingness to work in a dynamic environment and travel overnight occasionally (≈10%).
- Pass a pre‑employment drug test and be legally authorized to work in the United States.
