About the role

We are seeking an Administrative Assistant to support the Learning & Development (L&D) team at Brasfield & Gorrie. Reporting to the Director of L&D, you will ensure smooth coordination of training initiatives and provide essential operational support.

Key responsibilities

  • Provide administrative support to the Director and L&D team, managing calendars, scheduling meetings, and arranging virtual training logistics.
  • Coordinate logistics for in‑person and virtual training programs, including registration, material preparation, attendance tracking, catering, room setup, and technology support.
  • Maintain and update the Learning Management System (LMS) – uploading courses, managing rosters, generating reports, and communicating with learners.
  • Prepare training materials, presentations, job aids, reports, and internal communications as needed.
  • Track participation, keep accurate records, and compile training metrics for leadership reporting.
  • Support budget tracking by processing invoices, reconciling expenses, and assisting with expense reports in Concur.
  • Arrange travel for L&D team members and facilitators, handling airfare, lodging, transportation, and related logistics.
  • Assist in planning team meetings, retreats, and department events, and partner with Marketing to distribute training communications.
  • Maintain departmental files, shared drives, and documentation to ensure organization and compliance.
  • Contribute to special projects and strategic initiatives as assigned by the Director.

Required profile

  • Associate’s or Bachelor’s degree preferred, or equivalent work experience.
  • 2–4 years of administrative support experience, preferably in a corporate or training environment.
  • Strong organizational and time‑management abilities with capacity to handle multiple priorities.
  • Excellent written and verbal communication skills.

Required skills

  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with Learning Management Systems (LMS) for course administration.
  • Familiarity with Concur or similar expense‑management platforms.
